How to sign a PDF on Mac without printing it

Printing a document, signing it by hand, and scanning it back to PDF is a waste of time, paper, and quality. Modern Mac tools let you sign PDFs digitally in seconds, and the result looks cleaner than a scanned wet signature.

Types of PDF signatures

There are three levels of PDF signatures. An electronic signature is simply an image of your handwritten signature placed on the document. A digital signature uses cryptographic certificates to verify the signer's identity and detect any changes made after signing. A qualified electronic signature (QES) uses a government-issued certificate and has the highest legal standing.

For most everyday purposes, including contracts, agreements, approvals, and authorizations, an electronic signature (image-based) is legally valid in most jurisdictions under laws like the US ESIGN Act and the EU eIDAS Regulation. You do not need expensive certificate-based signing for routine documents.

Using Preview's built-in signature tool

macOS Preview includes a surprisingly good signature feature. Open the PDF, click the Markup toolbar icon, then click the Signature button. You can create a signature by writing on your trackpad, holding a signed piece of paper up to your camera, or drawing with your mouse.

Once captured, Preview saves your signature for reuse. Click the Signature button on any future document, select your saved signature, and click to place it. You can resize and position it precisely on the signature line.

Preview's limitation is that it only handles simple signature placement. It cannot add date fields alongside the signature, cannot stamp initials on each page, and does not support multiple signers or signature workflows.

Using File Studio for more control

File Studio's signing tools offer more flexibility than Preview. You can create signatures the same way (trackpad, camera, or import an image), but you also get options to add the date, your printed name, and title alongside the signature.

For multi-page documents, File Studio can place initials on every page automatically while putting your full signature on the designated signature page. This saves significant time on long contracts and agreements.

File Studio also lets you fill in the rest of the form before signing, combine signing with other PDF operations like merging or compressing, and flatten the signed document so the signature cannot be moved or removed.

Electronic signatures vs. digital signatures: what is the difference

An electronic signature is any mark on a digital document that indicates intent to sign: a typed name, a drawn signature via trackpad or mouse, an image of a handwritten signature, or even a checkbox labeled 'I agree.' Electronic signatures are legally recognized under the ESIGN Act (United States), eIDAS (European Union), and similar laws worldwide.

A digital signature is a specific type of electronic signature that uses cryptographic technology to verify the signer's identity and detect any changes to the document after signing. Digital signatures require a certificate issued by a certificate authority (CA) and provide a level of authentication and tamper-evidence that simple electronic signatures do not.

For most personal and business use (signing contracts, agreements, applications, and forms), an electronic signature is sufficient and legally binding. Digital signatures are typically required only in specialized contexts: government filings, regulated industries, and cross-border transactions where identity verification is critical. Creating a high-quality signature for PDF signing

macOS has a built-in signature capture feature accessible through Preview (Tools, then Annotate, then Signature). You can create a signature by signing on a piece of white paper and holding it up to your MacBook's camera, by drawing on a trackpad, or by typing your name in a script font. Once captured, the signature is stored in your macOS keychain and available in Preview and other apps.

For the best quality, sign on white paper with a thick black pen (a Sharpie or felt-tip pen works well) and photograph it with even lighting and high contrast. A clean capture produces a signature that scales well and looks natural at any size. Thin pen strokes and gray backgrounds result in signatures that look faded or muddy when placed on a PDF.

File Studio imports your macOS-stored signatures and also lets you create new ones directly within the app. You can adjust the size, rotation, and opacity of the signature before placing it on the document. For signatures you use frequently (e.g., a business signature vs. a personal signature), save multiple versions for quick access.

Proper signature placement and finalization

Position your signature within the designated signature line or box on the form. Most legal and business documents include a clearly marked signature area. If the document does not have one, place your signature at the bottom of the relevant page, typically below the last line of text or terms.

After placing your signature, consider whether to flatten the PDF. Flattening converts the signature annotation into permanent page content, preventing it from being moved, resized, or removed. For legally binding documents, flattening is recommended because it ensures the signature cannot be separated from the document content.
